Formatting cells in excel is an essential skill to make your data more readable and presentable. You can format cells in various ways, including changing number formats, text alignment, font styles, colours, borders, and more. Here’s a guide to formatting cells in Excel:

1. Number Formatting

You can change the way numbers are displayed in Excel, such as adjusting decimals, percentages, currency, dates, and more.

  • Steps:

    • Select the cell or range of cells you want to format.

    • Right-click the selected cells and choose Format Cells, or press Ctrl + 1.

    • In the Format Cells dialog box, go to the Number tab.

  • Common Number Formats:

    • General: Default format (Excel decides the best format).

    • Number: Allows you to set the number of decimal places and use thousand separators.

    • Currency: Adds currency symbols (e.g., $, €, £) and allows you to control decimal places.

    • Accounting: Similar to Currency but aligns the currency symbols and decimal points.

    • Date: Formats cells to display dates in various formats (e.g., mm/dd/yyyy, dd-mm-yyyy).

    • Time: Formats cells as time values.

    • Percentage: Converts numbers to percentages.

    • Fraction: Formats numbers as fractions.

    • Scientific: Displays numbers in scientific notation (e.g., 1.23E+5).

2. Text Formatting

You can modify how text appears in a cell, including adjusting font, size, color, style, alignment, and more.

  • Steps:

    • Select the cell or range of cells you want to format.

    • Right-click and choose Format Cells, or use the Home tab options in the Ribbon.

  • Common Text Formatting Options:

    • Font Style: Bold, Italic, Underline.

    • Font Size: Increase or decrease font size.

    • Font Color: Change the text color.

    • Fill Color: Change the background color of a cell.

    • Text Alignment:

      • Horizontal: Left, Center, Right, or Justify.

      • Vertical: Top, Middle, or Bottom alignment.

    • Number of Lines/Columns: Adjust row height or column width by dragging the boundary or by using Format > Row Height or Column Width.

3. Borders

You can add borders to your cells or ranges to improve the readability and structure of your data.

  • Steps:

    • Select the cell or range where you want to add borders.

    • Right-click and choose Format Cells > Border tab, or use the Borders dropdown in the Home tab of the Ribbon.

  • Border Options:

    • You can choose from different line styles, thicknesses, and colors.

    • Apply borders to all sides, just the top or bottom, or even diagonally.

4. Cell Styles

Excel offers predefined cell styles that you can use to quickly format cells with a consistent look. This can be useful for headers, titles, or data that needs emphasis.

  • Steps:

    • Select the cell or range of cells.

    • Go to the Home tab on the Ribbon.

    • In the Styles group, choose a style from options like Good, Bad, Neutral, or Heading styles.

  • You can also create custom styles if you want a personalized format.

5. Conditional Formatting

Conditional formatting allows you to format cells based on their values, such as highlighting cells with specific conditions (e.g., values above a certain threshold, duplicates, etc.).

  • Steps:

    • Select the range of cells to apply conditional formatting.

    • Go to the Home tab > Conditional Formatting.

    • Choose from options like:

6. Alignment

    • Horizontal alignment options include Left, Center, Right, or Justify.

    • Vertical alignment options include Top, Center, or Bottom.

    • Text Control: Use Wrap Text to make text fit inside the cell (especially useful for long text), or use Merge & Center to combine multiple cells into one large cell.

7. Custom Number Formats

Excel allows you to create custom number formats if the predefined formats don’t meet your needs.

  • Steps:

    • Select the cell(s) and open Format Cells (Ctrl + 1).

    • In the Number tab, select Custom.

    • You can define your own custom format (e.g., for phone numbers, dates, or specific currencies).

  • Examples:

    • For a phone number: ###-###-####

    • For displaying two decimal places: 0.00

    • For custom date formatting: dd-mmm-yyyy

8. Merge Cells

You can merge multiple cells into one larger cell, often used for headers or titles.

  • Steps:

    • Select the cells you want to merge.

    • Go to the Home tab > Merge & Center.

    • You can choose to Merge & Center, Merge Across, or just Merge Cells.

9. Clear Formatting

If you’ve applied formatting but want to remove it, you can clear the formatting and return to the default state.

  • Steps:

    • Select the cells with the formatting you want to remove.

    • Go to the Home tab > Editing group > Clear > Clear Formats.

  • Shortcut for Format Cells: Press Ctrl + 1 to open the Format Cells dialog box.

  • AutoFit Columns/Rows: Double-click the boundary of a column/row header to automatically adjust its width/height to fit the content.

  • Copy Formatting: Use the Format Painter (paintbrush icon in the Home tab) to quickly copy formatting from one cell to another.
